# Prompts

The Prompts view provides detailed insights into individual search prompts tracked across AI platforms. See which questions mention your brand, analyze competitor visibility, and identify gaps where your brand should appear but doesn't.

Each prompt is monitored daily across all connected AI search platforms, giving you a comprehensive view of your brand's performance at the question level. Use this data to understand which topics drive visibility and where you need to improve your content strategy.

The Prompts section is organized into two tabs:

* **Your prompts:** The prompts you are actively tracking, along with their performance data.
* **Recommended prompts:** An inbox of new prompts surfaced each week, tailored to your brand context and market data so they are specific to your brand. You can accept recommendations into tracking or decline them.

You can also surface prompts on demand for a specific topic using **Prompt Explorer**, covered in its own section below.

## Prompt Management

### Uploading Prompts via CSV

Click **+ Add Prompts** to open the Upload Prompts modal. You can bulk import prompts from a CSV file:

* **Drag & drop** your CSV file into the upload area, or click to browse
* Supports CSV files up to **4 MB**
* **Download template** to get the correct CSV format
* Each prompt should have a topic. Missing topics will be **auto-created**

Topics help you organize prompts into logical groups for easier filtering and analysis.

### Editing Topics

Click **Edit Topics** to manage your topic categories. The Edit Topics modal allows you to:

* **View all topics** with color-coded indicators for easy identification
* **Rename topics** by editing the topic name directly
* **Delete topics** using the trash icon next to each topic
* **Add new topics** using the **+ Add Topic** button

Topics are used to group related prompts together, making it easier to analyze visibility trends by theme (e.g., Content Refresh, Answer Engine Optimization, Content Strategy & Planning).

### Managing Tags

Tags let you organize prompts with custom groupings beyond topics. Create tags like "Q1 Strategy," "December Targets," "Product Launch," or any grouping that fits your workflow.

Use tags to:

* Group prompts by campaign or initiative
* Track seasonal or time-based priorities
* Organize by business unit or product line
* Create custom views for reporting

Tags are optional and flexible. Add as many as you need to keep prompts organized.

### Bulk Actions

Select multiple prompts using the checkboxes in the prompts table to perform bulk operations:

1. **Select prompts:** Click the checkbox next to each prompt you want to modify, or use the header checkbox to select all visible prompts
2. **View selection count:** A toolbar appears showing how many prompts are selected (e.g., "2 Selected")
3. **Assign Tags:** Type a new tag name and click **Create** to add a new tag, or select an existing tag to assign it to the selected prompts
4. **Reassign Topic:** Move selected prompts to a different topic category
5. **Delete:** Remove selected prompts from tracking

This allows you to efficiently reorganize large numbers of prompts or clean up prompts that are no longer relevant to your tracking strategy.

## Recommended Prompts

The **Recommended prompts** tab is an inbox of new prompts surfaced each week. Recommendations are drawn from your brand context and market data so that each prompt is specific to your brand and relevant to the topics, competitors, and audiences you care about.

Use this tab to expand coverage without manually researching new prompts. Review the queue, accept the prompts you want to track, and decline the rest.

### Accessing Recommended Prompts

Open the **Recommended prompts** tab at the top of the Prompts page. A badge on the tab shows how many pending recommendations are waiting for review.

### Recommendation Details

Each recommendation shows the same performance signals you see elsewhere in Insights so you can decide at a glance whether it is worth tracking:

| Field | Description |
| --------------- | ----------------------------------------------------------------------------------- |
| **Prompt** | The recommended question or prompt |
| **Reasoning** | A short explanation of why this prompt was recommended, when available |
| **Topic** | The topic the prompt has been associated with |
| **Volume** | Relative search interest (Low, Medium, High) |
| **Mentioned** | Indicator of whether your brand is likely to be mentioned in answers to this prompt |
| **Cited** | Indicator of whether your brand is likely to be cited as a source |
| **Competitors** | Competitor brands that tend to appear in answers to this prompt |

### Actions

You can take the following actions on each recommendation:

* **Accept:** Adds the prompt to **Your prompts** and begins tracking it across AI platforms. If a topic is already associated with the recommendation, it is carried over.
* **Decline:** Removes the prompt from your inbox. Declined prompts will not resurface.
* **Search:** Find a specific recommendation by keyword.

### Bulk Review

Select multiple recommendations using the checkboxes to review in bulk:

1. Use the header checkbox to select all visible recommendations, or check individual rows
2. A footer appears showing the number of selected prompts
3. Choose **Accept all** or **Decline all** to process the selection

Bulk accept respects your workspace's tracked prompt limit. If accepting a batch would exceed your limit, you'll be notified and can adjust before continuing.

### Refresh Cadence

New recommendations arrive on a weekly cadence for each brand kit. You do not need to trigger a refresh manually. If your inbox is empty, check back the following week for a new batch.

## Prompt Explorer

**Prompt Explorer** lets you surface a batch of prompt recommendations on demand for a specific topic. Use it when you want to go deeper on a theme right away instead of waiting for the next weekly batch of recommendations.

### Opening Prompt Explorer

From the **Your prompts** tab, click **Explore Prompts** to open the Prompt Explorer. You can step away at any time and return to an in-progress or completed exploration by clicking the same **Explore Prompts** button — your session will pick back up where you left off.

### Exploring Prompts

Fill out the form to describe what you want to explore:

| Field | Description |
| ------------------------------------ | --------------------------------------------------------------------------------------------- |
| **Topic** | The topic to explore prompts for. Select an existing topic or create a new one inline |
| **Custom instructions** *(optional)* | Free-form guidance that shapes which prompts are surfaced. See below for details and examples |
| **Prompts per topic** | How many prompts to surface (5, 10, 25, or 50) |
| **Brand Kit** | The brand kit to explore against, shown when you have more than one |

Click **Explore Prompts** to kick off the run. Exploration runs in the background and you'll see live progress while it works. Results appear in a dedicated view once the run completes.

### Writing Custom Instructions

Custom instructions are optional. When provided, they work alongside your brand context and market data to refine which prompts are surfaced and how they are framed. There is no strict character limit, but clear and specific guidance produces better results than long or vague input.

Useful things to include:

* **Target audience:** who the prompts should speak to (for example, "mid-market SaaS buyers" or "healthcare IT decision makers")
* **Intent or journey stage:** where the audience is in their journey (for example, "early awareness" or "late-stage evaluation")
* **Angle or focus:** the lens you want the prompts to take (for example, "focus on compliance and security concerns" or "emphasize ROI and cost comparison")
* **Tone:** how the prompts should sound (for example, "practical and hands-on" or "strategic and executive-level")
* **Product or use case focus:** which part of your offering to prioritize (for example, "prioritize our analytics features" or "focus on e-commerce use cases")
* **What to avoid:** topics, competitors, or phrasing you do not want reflected in the output

Examples:

> Focus on mid-market SaaS companies evaluating vendors for the first time. Emphasize cost-benefit analysis and implementation effort. Avoid questions about enterprise-only features.

> Target engineering leaders in late-stage evaluation. Prompts should reflect technical depth, integrations, and security posture.

Leave this field blank if you want recommendations drawn purely from your brand context and the selected topic.

### Reviewing Results

Prompt Explorer results use the same format as the Recommended prompts inbox. Each surfaced prompt shows volume, mention and citation indicators, competitor context, and any reasoning behind the suggestion.

You can:

* **Accept** a prompt to add it to **Your prompts** under the selected topic
* **Decline** a prompt to remove it from the results
* **Accept all** or **Decline all** to process the batch in one action
* **Explore More Prompts** to run another exploration with different parameters

Accepted prompts immediately begin tracking in **Your prompts** alongside your existing tracked prompts.

## Prompt Generation Methodology

AirOps generates tracked prompts using:

* **Traditional SEO keywords** from your existing keyword strategy
* **Panel data** from data providers that reflect AI search behavior and trends
* **Data science extraction** to surface important questions and themes in your category

***

## Prompt Volume Methodology

Prompt Volume indicates relative search interest to help you prioritize which prompts matter most. AirOps calculates this metric by combining:

* **AI search data:** Data partnerships provide insight into AI search behavior and trends
* **Traditional search volume:** Google search data is blended with AI prompt data to create a comprehensive view of demand across both search paradigms

### Why Relative Indicators

Prompt Volume uses relative tiers rather than exact numbers. Precise volume figures for AI prompts are unreliable due to:

* **Personalization:** AI responses vary based on user history and context
* **Multi-turn conversations:** Users refine and continue prompts in ways that fragment volume across related prompts
* **Platform differences:** Prompt patterns differ across ChatGPT, Perplexity, Gemini, and other AI engines

Relative indicators provide actionable prioritization without false precision.

***

## Regional Tracking

Track prompt visibility across different countries by adding regions in your Brand Kit's Insight Settings. Each region runs prompts from that geographic context, letting you:

* Understand geographic variations in brand mentions
* Identify regional opportunities
* Tailor content strategies by market
* Monitor international competitive positioning

***

## Persona Tracking

Track how AI platforms respond to the same prompts when asked by different user types. Configure personas in your Brand Kit's Insight Settings by defining a title and description for each. This lets you:

* Compare AI answers across audience segments (e.g., CTO vs. CEO vs. Engineering Manager)
* Identify which buyer personas see your brand mentioned most frequently
* Understand how competitive positioning shifts based on user context

Each persona multiplies your total prompt runs. Tracking 200 prompts with three personas results in 600 total answers.
